# AI Notes questions

## What does it do?

AI Notes captures consultations through the browser microphone and generates draft notes. Clinicians review and edit the output before use. Clinical tools, supplementary documents, history and browser video consultations support that workflow.

## Where is help?

Open Help in the workspace navigation or use the contextual help beside Patient, recording, Draft note, tools, video, resources and Settings. Help opens in a new tab so the current consultation stays open. Search by action or error.

## What happens if saving fails?

A failed save preserves edits in the editor. Keep the tab open and retry. Cancel in the new-consultation prompt keeps the current work. Starting another consultation is refused while recording or unresolved audio remains.

## Is the recording consent reminder always shown?

The recording consent reminder is off by default. Enable it in Settings to show the confirmation notice before capture. Obtain consent before recording whether the reminder is on or off.

## What do I explain when asking for consent?

Explain that the microphone captures consultation audio, AI services process it to prepare draft documentation, and a clinician reviews the notes before use. The application does not maintain an audio archive. Provider processing and retention depend on the configured account and contract; this is not a zero-retention guarantee for third parties. Use the privacy policy when explaining data handling, and offer the patient a way to decline the scribe.

## When does the transcript appear?

As each audio segment finishes processing. A delay between speech and transcript updates is expected. It is not a word-by-word streaming transcript.

## What does it cost?

A$99 a month, GST included, billed monthly, with a 14-day trial. Part-time plan: A$69 a month, GST included, up to 25 recorded consultation hours a month, shown in the app. Hours count recorded audio accepted for transcription once, including a retry of the same chunk, and reset each billing period. When the allowance is reached, finish the consultation already underway and its first draft. Starting another recording requires choosing the full Clinician plan or waiting until the next billing period. The app never changes your plan or charges you automatically. Writing notes, using clinical tools and sending resources do not use hours. Account creation needs no card; trial activation through checkout requires a card. Check renewal details and cancel through Settings if required.

## What are professional updates?

Professional updates is built into AI Notes and included at no extra cost: search official updates from the TGA, PBS, MBS, AHPRA, NMBA and Health, and CPD courses, powered by Abe. Each result links to the official source; check the source before acting. Notes, transcripts and consultation text are not used for professional search. The search words you enter are sent to Abe. Do not enter patient details. Saved professional reference links are available now.

## What is the patient resource library?

The patient resource library is a clinician's own saved links and handouts, kept with their account. Clinicians group items into sets of up to ten, find items by description (AI ranking of the clinician's own items only, on Australian AI services, never using the transcript or note), and email links after confirming consent and the exact recipient. Uploaded documents use a private bearer page containing only the selected documents. The page expires after 30 days and can be closed earlier. Download addresses last five minutes. Anyone holding the page link can access it while valid. Check Sent before retrying an unknown outcome. An optional line can be added to the note, and resources can be sent without recording a consultation. AI Notes does not choose resources for a patient.

## Can I change how recording looks?

Recording options: seven recording styles, side-by-side or stacked layout, reorderable consultation cards, a pop-out recorder that keeps recording when closed, a five-second microphone Test and a Full check of the microphone, the Australian AI services and a sample note.

## Does Sydney hosting mean all processing stays in Australia?

Patient audio and clinical text use Australian AI services only. If every Australian service fails, the AI request is refused with an error. There is no overseas clinical AI fallback. The clinical record database is in Sydney. Email, website hosting and payment services can operate overseas. Provider retention and training terms require separate verification. The application does not maintain an audio archive; that does not establish every provider's retention policy.

## Can I change a finalised note?

The existing workflow provides a time-limited amendment path and timestamped addenda. Keep the original clinical record and review any change before using it.

## Are portals and Halaxy connected?

Existing practice portal connections are retained and depend on the account's configuration. A Halaxy adapter is implemented; activation and exact practice and clinician authorisations are required before record transfer. MedicalDirector, Helix, Zedmed, Best Practice, Genie and Gentu require their own approved connection. Use manual copy or PDF handoff when unconnected.

## Is the product certified as compliant?

This description is not a regulatory certification. Functions, intended purpose, consent, data handling and practice circumstances must be assessed against the relevant requirements. Generated documents require clinician review.
